Pipeline stages and the deal board

Every deal is in a pipeline, and within that pipeline in a stage. A stage is one step in your workflow and one column on the deal board. Think of “First Visit”, “Offer” or “Reservation”. Drag a deal to the next column and you move it one step forward.

Until version 1.30.0, Tesoro had fixed statuses: nine for buyers and eight for owners. These have now become stages in two standard pipelines. Your office can also create its own pipelines and stages. You can read how that works in Setting up pipelines.

  • You want to know where all your deals stand
  • You are quickly looking for the deals that need attention
  • A deal card is orange or red, or has a small orange arrow, and you want to know why
  • A move is rejected and you are looking for the reason

Before Now
A fixed status per deal A stage in a pipeline
Nine buyer statuses and eight owner statuses, the same for everyone Your office determines the stages per pipeline
One board for buyers and one for owners A separate board per pipeline, or all pipelines together by phase

Your existing deals have been carried over. A buyer deal in “First Visit” is now in the First Visit stage of the Buyer pipeline. An owner deal in “Online” is in the Online stage of the Seller pipeline.

In a deal’s form, the field is still called Status. The choices are now the stages of that deal’s pipeline. In the list view and in the filters you will find the Pipeline and Stage fields.

Every stage belongs to one of four fixed phases:

Phase Meaning
Orientation Orientation: getting acquainted, viewings, mandate
Negotiation Negotiation: offer, reservation
Closing Closing: contract, deposit, deed
Outcome The end: Won or Lost

The phases are the same for all pipelines. That is how Tesoro can show deals from different pipelines together.

Go to Deals and choose the board view. At the top are the BUYER / OWNER toggle, the pipeline selector and the Needs attention button.

The pipeline selector on the deal board. Choose one pipeline, or All pipelines to see everything by phase.
The deal board with the pipeline selector expanded: All pipelines and Buyer pipeline, with the Needs attention button next to it

The pipeline selector shows the visible pipelines that match BUYER or OWNER. The Default pipeline carries the label Default, a standard pipeline the label Standard.

  • One pipeline: every column is a stage of that pipeline, in the order your administrator has set. You can drag deals and add new deals with +.
  • All pipelines: the board shows four columns, one per phase: Orientation, Negotiation, Closing and Outcome. Each column contains the deals from all pipelines that are in that phase. This overview is for viewing only. Dragging and + are not possible here, because a phase can contain multiple stages.

Tesoro remembers your choice in this browser, separately for BUYER and OWNER. If you return to the board later, you will see the same pipeline again. The chosen pipeline is also in the URL, so you can send a colleague a link to exactly this board.

Every column shows:

  • the name of the stage (or the phase, with All pipelines)
  • the number of deals in the column
  • the total deal value of that column
  • the + button to create a deal directly in this stage

If a column has many deals, Tesoro loads them in batches as you scroll. The number then appears as “90 / 269”: 90 loaded out of 269.

  1. Choose one pipeline at the top (not All pipelines).

  2. Click + in the header of the stage in which the deal should start.

  3. The Add deal form opens. The pipeline is already filled in and the deal starts in the stage you clicked on.

  4. Fill in the details and save.

Grab a deal card and drag it to another column. The stage changes immediately. If you drag to a Won column, you will see confetti.

Your pipeline’s rules also apply when dragging. A Buy or Rent deal can, for example, only move to a stage that commits the property once a property is set to Approved. Otherwise the card returns and you see: “A deal must have at least one approved property before it can commit to it.” You can read more about this in Setting up pipelines.

The order of cards within a column follows the sorting of your view. You cannot move cards within a column yourself.

Click Needs attention to see only the deals that need attention. The board then shows, per column, only deals with a Rotting score of 40 or higher, with the worst at the top. Click again to see all deals again.

The button is also in the URL. So you can save or share this filtered board as a link.

You can read what the Rotting score is and how it is calculated in Rotting: deals that need attention.

Your administrator can set a maximum number of days per stage (Max days). If a deal stays in the same stage too long, the card gets a coloured border on the left and a message:

Colour Message on the card Meaning
Orange Nearing stage limit · 8d of 10d The deal is approaching the limit. In this example, 8 of the 10 days have passed.
Red Stage time expired · 11d (limit 10d) The deal has been in this stage longer than the limit. In this example 11 days, with a limit of 10.

Tesoro only counts working days (Monday to Friday). The count starts again as soon as the deal moves to another stage. If a stage has no Max days, the card never changes colour.

Your administrator sets this in Settings > Deal Settings, in the Stage time-limit colouring block:

The default setting: orange at 80% of Max days, red at 100%, and a card stays neutral for the first 3 days.
The Stage time-limit colouring block with the fields Orange at % (80), Red at % (100) and Minimum days (3)
Field Default Meaning
Orange at % 80 The card turns orange at this percentage of Max days.
Red at % 100 The card turns red at this percentage of Max days.
Minimum days 3 Every card stays neutral for this long, no matter how short the limit is.

Example. A stage has Max days 10. With the default values, the card turns orange after 8 working days and red after 10 working days. If a stage has Max days 2, the card only changes colour after 3 working days, because of Minimum days. It is then immediately red.

This page is only visible to administrators.

If someone moves a deal back to an earlier stage, a small orange arrow (a back arrow) appears next to the deal name. Hover over it to see where the deal came from and when. For example:

Moved back from Offer on 12/09/2026

Moving a deal back is allowed. The icon simply ensures that such a deal does not go unnoticed as if it were new. If you later move the deal forward a step again, the icon disappears.

They have become stages. The nine buyer statuses are in the Buyer pipeline, the eight owner statuses in the Seller pipeline. Your deals are in the stage with the same name.

Yes, as an administrator. The standard pipelines are fixed, but you can duplicate them and edit the copy. See Setting up pipelines.

A column in this overview is a phase, not a stage. A phase can contain multiple stages, from different pipelines. Tesoro then does not know which stage the deal should go to. Choose one pipeline at the top to drag.

The selector only shows visible pipelines that match BUYER or OWNER. A hidden pipeline is not listed. Also check that you have chosen the correct toggle (BUYER or OWNER).

The deal has been in this stage too long. Move the deal one step forward if that is correct. Or look at what is needed to help it along, such as a viewing or a phone call.

No. Tesoro only counts Monday to Friday.
