Property matching: automatically match, present, schedule
You have a buyer with €350k, €450k, 3 bedrooms, Marbella, sea view. Instead of manually scrolling through 200 properties, you enter those criteria in a deal and let Tesoro automatically suggest matching properties. Then you review, email the selection to the buyer, and schedule viewings, all on one Kanban board.
When do you use this?
Section titled “When do you use this?”- A new Qualified buyer lead converts to a deal, you want to see options immediately
- A buyer’s search criteria change, you want a fresh selection
- You want to look from a new property at which deals match
How the algorithm works: short
Section titled “How the algorithm works: short”| Criterion | Rule |
|---|---|
| Price | Within min/max of the deal, with 10% flex: the minimum may be 10% lower, the maximum 10% higher |
| Area | Built m² within min/max of the deal, with 10% flex in the same way |
| Bedrooms | Property ≥ deal minimum |
| Bathrooms | Property ≥ deal minimum |
| Property type | Property type must be in deal selection |
| Location | Property lies in one of the chosen cities, provinces or drawn areas (alternative names supported) |
| Transaction type | For Sale/For Rent must match what buyer is looking for |
| Tags | Property must contain all deal tags |
Score boost (factor 2) if price and area fall exactly within the range, not just within the flex margin. Results are ranked by score.
The flex margin applies when Tesoro looks for properties for a deal. When Tesoro looks for matching deals from a property, the property’s price must fall exactly within the deal’s price range.
Where search criteria live
Section titled “Where search criteria live”In two places:
In a Buyer Lead: section Property Details:
- Property Type (required, multi-select)
- Bedrooms / Bathrooms (0+ to 10+)
- Construction Size Min/Max
- Price Range Min/Max (required for Qualified+)
- Location (multi-select)
See Working with leads.
In a Buy or Rent deal, in the Property requirements card:
- Location: Cities / areas or Draw on map (see below)
- Type (required, multi-select)
- Bedrooms, Bathrooms
- Tags Criteria, property must contain these tags
- Price Range Min/Max
- Construction Size Min/Max
When converting a lead → deal, criteria are automatically transferred.
Location: cities or a drawn area
Section titled “Location: cities or a drawn area”Under Location, in a Buy or Rent deal you choose between two methods:
- Cities / areas: type a city or area and choose from the list. You can select multiple places.
- Draw on map: draw an area yourself on the map, for example a stretch of coastline.
You choose one of the two, not both (“Pick cities/areas or draw an area — not both.”). If you switch, Tesoro clears the other input.
More areas give more results. A property matches if it lies in one of the chosen areas. If you choose Altea and Jávea, you get properties from Altea and properties from Jávea. A city or province you add via Advanced criteria also counts as an extra area. That way you combine, for example, a drawn area with an entire province. A property in the right city without coordinates on the map also matches.
At the bottom of the Property requirements card you see the Active areas block. It shows all areas Tesoro searches in, with the explanation “A property matches if it is in any of these areas.” A drawn area appears there as Drawn area. That way you immediately see whether a forgotten area is still in the search.
Advanced criteria (Buy and Rent deals)
Section titled “Advanced criteria (Buy and Rent deals)”Below the Property requirements card, Buy and Rent deals show the Advanced criteria button. It opens an extra window for additional requirements, such as the distance to the beach. Per criterion:
- Attribute: choose a characteristic (for example city, province, tags, features or distance to the beach)
- Operator: for example Equal, Not Equal, Greater than or Empty
- Value: type or select
Multiple criteria are possible. Click + for an extra row and − to delete a row. Click Done to close the window. When saving the deal, Tesoro includes the criteria in the preselect.
Criteria for city, province or a drawn area broaden the search (see above). All other criteria refine it: a property must satisfy them. A row with Not Equal or Empty always refines, even for city or province. If, for example, you choose city Not Equal Madrid, then Madrid drops out.
Automatic preselect
Section titled “Automatic preselect”- You create or edit a Buy/Rent deal with search criteria.
- Tesoro runs a background task: all active properties are searched.
- Matching properties appear on the Properties tab of the deal, status Preselect.
- When criteria are later changed, the system replaces old preselects with fresh ones. Previously Rejected by Agent properties remain excluded.
The property pipeline in a deal: 7 statuses
Section titled “The property pipeline in a deal: 7 statuses”The Properties tab of a deal = Kanban board:

| Proposed | Agent approved, ready for mailing to buyer |
| Pending | Sent to buyer, waiting for response |
| Interested | Buyer wants more info or a viewing |
| Rejected | Buyer rejected |

Suggesting deals from a property
Section titled “Suggesting deals from a property”The reverse direction also works:
- Open the property → Connections & attachments tab.
- View the Buy/Rent Deals or Sell/Rent Out Deals sections, click +.
- Tesoro automatically shows matching deals, by price, area, rooms, type, location.

Emailing proposed properties to the buyer
Section titled “Emailing proposed properties to the buyer”- First check: does the deal have a Client Portal user? The buyer contact must have an active portal account, otherwise sending is not possible.
- Move properties to Proposed (from Preselect via approval).
- Click the email icon above the Proposed column. The system sends an email with all newly proposed properties.
- Tracking is automatic. Previously emailed properties are not included again, only new ones.
Response via the portal
Section titled “Response via the portal”The buyer can choose per property:
- Interested: wants more info or a viewing
- Rejected: no interest
Both responses update automatically in the property pipeline.
Scheduling viewings from matches
Section titled “Scheduling viewings from matches”For Interested or Approved status:
- Find the property in the correct column of the Kanban board.
- Click Meeting on the property card.
- Fill in date, time and participants; the deal contact is suggested automatically.
- Save: the appointment appears in the deal and in the calendar.
Improving matching quality: six tips
Section titled “Improving matching quality: six tips”- Fill in search criteria completely. The more, the more relevant.
- Realistic price range. Too wide = noise. Too narrow = missed opportunities. The 10% flex is automatic, so no extra room is needed.
- Specific locations. No location = all cities match. Each extra area actually gives you more properties. Check the Active areas block.
- Tag criteria for specific wishes (pool, garage, sea view). A property must contain all tags.
- Keep your portfolio up to date. Only Active participates; set properties that are no longer available to Sold/Off Market.
- Review preselects in time. Fast response = fast service to the buyer.
Common mistakes
Section titled “Common mistakes”No properties in Preselect
Section titled “No properties in Preselect”Possible causes: the deal has no criteria, no active properties match, or the deal type is Sell/Rent Out (no preselect). Check the criteria and your Active portfolio.
Search criteria changed: Proposed properties gone
Section titled “Search criteria changed: Proposed properties gone”Not gone. Only Preselect is replaced when criteria change. Proposed, Interested, Approved remain.
Cannot email the buyer
Section titled “Cannot email the buyer”No active Client Portal account, or no new Proposed properties since the last sending.
“Change status first” with deal suggestion
Section titled ““Change status first” with deal suggestion”The property is not Active. Adjust → try again.
